Planning a private charter flight

What to sort before a private jet charter: route, passengers, baggage, ID and passports, and what happens on the day.

Private aviation on Pickup is provided by operators who hold an NCAA Air Operator Certificate, using aircraft listed on their operations specifications and licensed crew. The operator flies. You arrive.

Before you book

  • Route and timing. Add your departure, destination and preferred time in Search. International flights need at least 72 hours' notice.
  • Passengers. Every seat must be accounted for, and infants count toward the limit. Numbers are fixed once the flight is planned.
  • Baggage. Aircraft have weight and space limits. Tell your operator what you are carrying.
  • Request to book. Charter flights always need the operator to confirm the aircraft and crew first. See Instant confirmation vs Request to book.

What every passenger needs

  1. A valid government issued photo ID for domestic flights.
  2. A valid passport, plus any visa or entry documents, for international flights.
  3. Their name and passport or ID details on the passenger manifest, which you complete after paying: by 24 hours before departure for international flights, 6 hours for domestic. See The passenger manifest for private flights.

A passenger missing from the manifest cannot board. Passengers without the right documents can be refused boarding at the terminal.

Paying

How you pay depends on how far ahead you book. See Paying for a private jet charter.

On the day

  • Arrive at the terminal shown in your trip pack, allowing time for security screening.
  • Keep your ID to hand.
  • Follow the crew's instructions.
  • Your trip starts at wheels up.

The operator's final authority

The operator and pilot in command have final authority over safety, including weather, routing, weight and whether a passenger or item can fly. If weather, air traffic control or an NCAA directive stops the flight, you get a refund of the total price, less a fair amount for any part already delivered. See the Cancellation and Refund Policy.

Need to make changes?

Changes to charter flights often depend on crew and slot availability. Open the trip in Trips and tap Change reservation, or message your operator as early as you can.

The full rules are in the Major Disruptive Events Policy and Passenger Acknowledgement and Assumption of Risk.
